Privacy policy

This page explains what this website collects, why, and for how long. It describes the website only. Registration and abstract submission are handled on separate platforms, which publish their own notices.

Who is responsible#

What we collect#

We collect only what you type into one of our forms.

• Contact form — your name, organisation, country, email address, the subject you choose and your message.
• Letter of invitation request — your name as it appears on your passport, your nationality, your passport number, your registration reference, the embassy or consulate where you will apply, and your email address.
• Partnership enquiry and partner pack download — your organisation, your name, your email address, and the details you choose to give us.

We also store a salted, one-way fingerprint of the network address the message was sent from. It cannot be turned back into an address; it exists solely to stop automated abuse of the forms.

Your passport number#

It is used for one purpose: drafting your letter of invitation. It is stored separately from the rest of your request, it is never reproduced in any notification email, it is not included in routine data exports, and it is readable only by the site administrators.

Why we hold it#

To answer the enquiry you sent us, and to organise the conference you are writing to us about. We do not use your details for anything else, we do not profile you, and we do not sell or share them with third parties for their own purposes.

How long we keep it#

Submissions are deleted automatically after 24 months. Deletion is permanent.

Tracking, cookies and third parties#

This site runs no analytics and no advertising, and sets no tracking cookie. WordPress sets a session cookie only for people who log in to administer the site.

Every font, stylesheet, script and image is served from this server. No page loads anything from an external network — no font service, no content delivery network, no anti-robot service, no embedded map. Opening a page here therefore discloses your visit to no one but us.

Your rights#

You can ask for a copy of what we hold about you, ask us to correct it, or ask us to erase it. Write to the conference secretariat and we will act on your request. If you are in the European Union, you also have the right to complain to your national supervisory authority.
